Terms and Conditions

Please note that upon making a reservation with Dyeing To Weave for the Immersive SAORI Retreat, you are accepting all “Terms and Conditions”.

Travel and your health

We are always delighted to see you at our SAORI Immersive Retreat. However, we want to ensure that you, our other guests and our staff all stay safe and well. If you are unsure about whether to travel, or do feel unwell, it’s best to discuss your upcoming travel plans with your own health professional or state health department.

If travel restrictions occur during your stay with us, we ask that you take responsibility for your ongoing travel arrangements and/or any testing or quarantine deemed necessary by the area or state in which you reside or are travelling to.

Guests requiring medication, pharmaceuticals or an EpiPen are responsible for bringing, maintaining and using these at the Retreat as per the advice of their medical practitioner or chemist.

All guests must fill out the necessary health form (hardcopy or online forms) for any spa treatments booked and must clearly disclose any pre-existing medical issues as required on the health form.

In the case of an emergency please note, the closest hospital is 45 minutes’ drive from Hepburn Springs and an ambulance will be requested if an emergency transfer to hospital is required during your stay.

All guests need to identify an emergency contact on their booking form with correct contact details.

Deposits & Payments

To secure your booking, a deposit ($600 / $800) is required (unless otherwise specified). Following a deposit payment, an invoice will be sent for the remaining amount. Unless otherwise stated, the balance is payable in full 2 months prior to arrival. Bank transfer is the preferred method of payment and details will be included on your payment invoice. Please note that credit card payments will incur a small processing fee of 2%.

The payment for any additional day spa treatments or items purchased during your stay must be finalised with the accommodation upon checkout.

Cancellation Policy

All reservations for the SAORI Immersive Retreat are subject to the following conditions. Please note, all cancellations are required in writing.

Reservations cancelled 21 days or more prior to the Retreat start date, will receive a credit to rebook on a future date within 12 months. If none of the dates proposed suit you, you will receive a full refund of your booking deposit paid, minus a 2% processing fee.

If you need to cancel 20 days or less prior to the Retreat start date due to a change in circumstance or health reasons, you can transfer your booking to another person OR forfeit your deposit payment and be refunded the remaining program cost paid. You will also get first-access to new dates to rebook a Retreat in the future, should you choose to.

Cancellations made within 24 hours of the Retreat start (2pm the day prior), can transfer their booking to another person OR forfeit the full balance paid. You will get early-access to new dates to book another Retreat in the future, should you choose to.

If the Retreat needs to be cancelled by the organiser for any reason, you will be offered alternative dates for the Retreat. If no future dates are suitable for you, you will receive a full refund of your booking fee paid.

Arrival Policy

We offer clear arrival and departure details upon confirmation of the booking to ensure our scheduled program runs smoothly. Please make every effort to arrive within the agreed check-in time (from 2pm) and prior to the evening orientation session (‘Welcome Drinks’), which is integral to your experience.

Accommodation requirements

Please note that this is a traditional Japanese style accommodation, with a futon bed on the tatami mat floor. There are no Western style beds at this accommodation. Whilst the futon beds are comfortable and there is a low table next to the bed to assist you in getting up and down, some people cannot sleep on the floor due to mobility issues. If you will not be able to sleep on a traditional futon bed, alternative sleeping arrangements in a Western style bed can be arranged at an accomodation nearby. You will enjoy all the other aspects and activities of the Retreat but will not have your own room onsite. If you require a Western bed at an alternative accommodation, this must be advised in writing upon booking. Any alternative accommodation costs are included in the program price.
